Introduction
The National Lotteries Commission (NLC) is a key regulatory entity responsible for overseeing the South African Lotteries and managing the National Lottery Distribution Trust Fund (NLDTF). As a Schedule 3A entity under the Public Finance Management Act (PFMA), the NLC plays a crucial role in ensuring compliance, fairness, and efficiency within the industry. The NLC is currently seeking two highly skilled Travel Officers to join its Finance Division. These roles require individuals who can effectively coordinate travel logistics and office administration to support the organization’s operations.
Job Description
The Travel Officer will be responsible for managing all travel-related requests, ensuring seamless travel arrangements for business units, and handling administrative tasks related to travel and logistics. The successful candidate will play a critical role in managing travel expenses, liaising with travel service providers, and ensuring adherence to the NLC’s travel policies.
Ideal Candidate
- Must be a South African citizen
- Hold a National Diploma (NQF Level 6) in Office Administration, Procurement, Tourism, or Logistics
- Have a minimum of 3 years’ experience in travel management
- Possess strong knowledge of travel coordination, financial reconciliation, and office administration
- Experience in working with government entities or regulated sectors is an added advantage
Role Responsibility
Coordinate Travel Requirements
- Manage all travel bookings, ensuring accuracy and compliance with authorization protocols
- Liaise with travel agents and confirm bookings with travel bookers
- Process payment requisitions and maintain accurate financial records
- Reconcile travel agent accounts weekly and address outstanding orders
- Monitor travel costs and ensure expenditure is kept within budget
- Track and recover any unnecessary expenses such as no-shows and missed flights
- Maintain records of all travel arrangements and collect boarding passes for flights
- Ensure strict adherence to the NLC’s travel policies by both staff and service providers
- Follow up on outstanding payments and manage order numbers for purchases
- Ensure all transactions comply with budgetary constraints and report shortfalls where necessary
Training and Legislative Updates
- Arrange logistics for training sessions, conferences, and meetings, including catering
- Maintain attendance registers for all training sessions
- Update the Travel Management Policy to reflect legislative changes
- Develop and implement policy and systems training for travel bookers and employees
Travel Coordination
- Manage and coordinate all travel, accommodation, and car hire requirements for Management
- Ensure all vehicle hire records are kept in line with organizational policies
- Reconcile travel expenditure against allocated purchase orders
- Follow up on outstanding requisitions and ensure timely closure of orders
Office Administration
- Provide general administrative support as required
- Ensure documentation is accurately drafted, securely filed, and confidentiality is maintained
- Support NLC audits by providing relevant travel and expenditure records promptly
- Act as the primary point of contact for the Travel Management Company (TMC)
- Organize monthly supplier meetings to address concerns and improve travel services
Skills & Attributes
- Strong communication skills (both verbal and written)
- Excellent organizational and administrative skills
- Knowledge of PFMA and other relevant regulations is an advantage
- Proficiency in Microsoft Office Suite and travel management software
- High attention to detail and ability to meet deadlines
- Strong risk management capabilities
- Ability to work independently and manage multiple tasks efficiently
- Exceptional interpersonal skills and ability to work with various stakeholders
